Students interested in careers in broadcasting,
accounting, public relations, journalism, and management will benefit
from work in the Administrative Department at KRUI. It affords
them an opportunity to practice their skills in oral and written communications
and introduces them to a general overview of public relations.
They will become acquainted with accounting and financial management
situations that will assist in developing the ability to make informed
decisions later in their professional careers. Students also learn
to interact with other external departments, such as the University
Business Office, in a productive manner.
Duties and Responsibilities
1) Maintain an updated list of personnel
in all departments. This list will include the current name, address,
and telephone number, and email address of every current KRUI employee.
2) Maintain an updated file of all
former employees. This file will include information concerning
the names, addresses, and activities of the UI/KRUI alumni.
3) Publish a KRUI alumni newsletter
once per semester, three (3) times per year, to be mailed to all KRUI
alumni. The newsletter will include:
a) current happenings at KRUI
b) updates on alumni around the country: jobs, promotions, deaths, etc.
c) current Iowa City/Coralville happenings as they relate to KRUI
d) letters from alumni (Format of
the newsletter is the decision of the Administrative Director with approval
of the General Manager.)
4) Produce and distribute inter-station
communication. Examples of such communication include memos, meeting
announcements, office hours, etc.
5) Accept applications from prospective
employees. Circulate these applications among departments of the
applicants' preference as positions become available.
6) Maintain a file of all applications
both approved and disapproved.
7) Within the General Manager and Program Director, maintain a public file which includes:
a) public ascertainment meeting records
b) letters from listeners
c) programming information
d)
FCC documents and correspondence
8) Maintain a media file which includes:
a) any newspaper articles having anything to do with KRUI
b) advertisements run by KRUI
c)
editorials concerning KRUI
9) Check "mail out" box
in office and mail anything in it daily. Nothing in "mail
out" will sit in box more than one day.
10) Maintain and balance all financial
accounts monthly, bringing to the attention of the General Manager the
status of every account.
11) Maintain an efficient voucher
system, speedily processing requisitions, voucher forms, and other University
of Iowa and financially related community paperwork and bills for the
approval of the General Manager.
12) Meet regularly with the General Manager
to discuss budgetary concerns and financial goals.
13) Maintain a file of catalogs/information
on all of KRUI's purchases or potential purchases, including product
receipts and warranties.
14) Monitor, on a weekly basis, the
inventory or office supplies and order supplies as the budget will allow,
with the approval of the General Manager.
15) Place orders for equipment with approval
of Operations Director and General Manager.
16) See that station equipment is
properly insured according to policies set forth by the General Manager.
17) Hire necessary staff and see
that they are properly trained to ensure Administrative Department duties
are completed without fail (see also Organizational Structure, Hiring
Procedure).
18) Evaluate Administrative Department
staff in accordance with Evaluation Procedures.
19) Attend all management meetings.
20) Perform any other reasonable duties
assigned by the General Manager.
21) The Administrative Director is required to fulfill 10 hours of office time per week.
Supervision is by the General Manager.
The Administrative Director has authority over the staff members of the Administrative Department.
